Correction (2026-08-26): AI Weekly Coaching was already available, but this policy did not disclose that the relevant text is sent to an external AI provider. Section 3 now states this and also covers Note Summary. This corrects an omission rather than reducing your rights, so it takes effect on the date posted.

Kairo ("the Service") respects your privacy. This policy explains what we collect, why, and your rights.

1. Data We Collect

• Account (required): email address, name, and account identifier from Google or Apple Sign-In
• Your content: time entries, activity evaluations, daily reviews, and people (relationships) you enter
• Contacts (optional): only names and organizations of contacts you explicitly choose to import
• Calendar (optional): event titles and times read from Google Calendar, stored only for events you classify

2. How We Use Data

• Account identification and sign-in
• Providing core features and syncing across devices
• Sending notifications you opt into (e.g., weekly reports)

We do not sell your data, use it for advertising, or track you across apps. We do not share your data with third parties for their own purposes — only with the service providers listed in section 3, who process it on our behalf to run the app.

3. Storage and Processors

Storage and authentication. Data is stored with Google LLC (Firebase Authentication, Cloud Firestore) on servers that may be located in the United States or other Google data-center regions. It is kept until you delete your account.

AI features (optional). Two features send text to an AI provider, and only when you run them yourself: AI Weekly Coaching and Note Summary. Both are available to Pro subscribers and act only when you tap the button. Nothing is sent otherwise.

• Providers: OpenAI, L.L.C. / Google LLC (Gemini API) / OpenRouter, Inc. — one of these handles the request depending on availability at the time.
• What is sent: for AI Weekly Coaching, a summary of your time entries for that period (activity name, hours, rating); for Note Summary, the note text you typed or dictated. Account details (email, name) and contacts are not sent.
• Where: the United States or other regions where these providers operate servers.
• Retention: discarded after processing and not used to train AI models. Providers may retain it for up to 30 days for abuse monitoring under their own policies.

If you prefer not to use AI features, simply do not run them — every other feature works normally.

4. Retention and Deletion

Your data is kept until you delete your account. You can delete your account and all data at any time in the app (Settings → Delete Account), or by contacting us. Records required by law (e.g., payment records) are retained for the legally required period.

5. Your Rights

You may access, correct, delete, or restrict processing of your data at any time via the app or by contacting us. We do not knowingly serve users under 14.
